Small business owners/workers out there...

Just a question to you guys.
In the building next door, this guy I know has one of these types of scanners

He said he pretty much got rid of a lot of his old hard copies and keeps everything on soft copy now, and I assume he backs it all up too. His one is like $2500 and does like 60 ppm

Does anyone here use or have one similar to the above link and do you find it useful?
One of my main problems in our office is lack of space and the storage of hard copies does not help…

I currently use a flatbed single page scanner (not for storage/backup but for normal scan use).

  • Soft copy is good providing you have a decent screen to view them on at a later date and use ocr based scanning software that gives you search capability within the scanned document. I've been using a HP3055 multifunction printer/scanner/fax with document feeder. Its an old model these days and no where near as fast as 50ppm but does has done the job over the years for only $300. one of the useful features of my model is that it can be network connected and allows you to scan a document from any pc network scanning compatible software (I use Nitro PDF) or allows a user to scan a document from the scanner and send it to a PC on the network. Admittedly this is now an older model so I can no longer get drivers from HP for windows7/8….but if/when I replace it I would be looking for something with similar features.

  • I am no expert so do your research but here's a tip
    I have a HP multi-function for home then bougght a brother multi-function laser fax
    The HP to pdf files were very large whereas the Brother does a better job and produces much smaller files
    Brother is comparable to the $10K Canon printer scanner we have at work
    So when shopping definitely investigate the size and quality of scans and don't just go for the tech specs
    I am happy with the brother and decent machines are in the $300 range
    Only dedicated scanners hit 50-60ppm and cost heaps

    Oh and you will need to implement work systems and procedures that don't require you to print but rather save docs
    A networked drive for central storage and maybe some CRM contact tracking software might be the go
    I am forced to use ACT but I believe better (easier to implement and use) is available
