G Suite Legacy Free Edition Will Not Longer Be Free from July 2022, Migrating to Google Workspace from $8.40/User/Month

Recently discovered this. From Google Workspace website:

If you have the G Suite legacy free edition, you need to upgrade to a paid Google Workspace subscription to keep your services. The G Suite legacy free edition will no longer be available starting May 1, 2022. Starting May 1, Google will seamlessly transition you to Google Workspace, which you can use at no cost until July 1, 2022.

I have 2 G Suite Legacy Free Edition domains — one for family and one for work — from 12-15 years ago, back when it was called Google Apps for Your Domain. Have paid $0 for the products and services for the past decade but I guess as the legacy edition is getting grandfathered, I'll need to choose between paying or migrating. All existing Google Apps domains will be migrated to Google Workspace, which "Business Starter" costs A$8.40/month for each user — that's $403.20 a year for a family of 4.

Migration would be relatively costly as well in both time & money, consider how many other products and services are bounded to these Google accounts. There are a lot of things to be moved for accounts you've had for 15 years. Also while there is Google Takeout, but no Google Import to help migrating from a Google Apps/G Suite/Google Workspace account to a regular Google account.

Anyone else affected by this?

    Not sure if this applies to the free accounts, but possibly it does (or will when the forced migration happens anyway) and could ease transition for those impacted by having a lot of family members.

    I had a free tier ages ago but started paying so I could get EAS with my account. I also had my mum sharing a domain. Initially I was happy to cover her cost but over time as my plans prices went up I was stuck paying for her email too so last year decided to transition her off my Google account and onto a free account elsewhere. To ease the transition I used the address maps feature which will forward email to any address you designate including an external provider. The nice thing with this is the redirection happens before the email lands in your inbox (so I never see my mums emails).

    For some people it may be worth thinking about whether it’s really worth providing email services to family and friends when a provider can screw you like this. For people willing to pay for GSuite for themselves but looking for a way to transition other family members away but not breaking an email address they have used for years, the above address maps feature might be an option to smooth over the transition and certainly it helped me. It was a much better option than associating my mums email address with my account and setting up a forward, since that would make her mail visible to me. The rules don’t require the email address to be associated with any users and therefore there’s no cost for additional users or anything and I could delete the existing account that had been using that address.

    Something to consider if you’re in a position to migrate some people into something you don’t administrate, but will retain at least one managed Google account.

    FWIW I moved my mother to outlook.com and mail migration via the Ms tools was painless.

    If people do want to manage a group under an owned domain maybe look at https://mxroute.com/. Depending on storage needs they might be ok as you get a single data pool and can add as many users or accounts as you want and there’s no per user cost. It’s paid but the price is reasonable with the larger 50GB pool being $65USD for the year, again irrespective of how many accounts you allow access to that.

  • I have moved my 2 Workspace accounts over to Workspace Starter, which is free until July and 50% off until July 2023. That should hopefully give me enough time to figure out whether to migrate to complete different services. Email migration is actually the trivial part — I have been running email servers for decades, are happy to redirect my mails to other inboxes, and have even written scripts to move emails from one provider to another using IMAP4. My problem is with the other services and data I've kept with Google — lots of files and docs on Google Drive & Keep, photos indexed on Google Photo, videos on YouTube, customised Maps entries, purchased apps in App Store, etc — bits & pieces collected over the last 15 years.

    And I have just "discovered" something that's no working since moving from GSuite Legacy to Workspace Starter — Google Discover no longer works on my Android phone, because apparently this feature is not available on Workspace Starter (only in Standard/Enterprise or free Gmail accounts).

        Just click on upgrade to workspace starter from your admin page, if you are in your GSuite legacy plan.

  • While this is a pain I think we will benefit from the move eventually.

    The Legacy offering has been somewhat behind the personal offering on some product aspects and it would probably get worse. I guess because they always wanted us to switch to paid but they could see we were almost never going to so it was time to push us out.

    I moved my photos last year from Legacy to Personal because extra storage on Legacy Drive cost is much more than Google One.

    A key feature I use in Drive is storing PDFs and sometimes they are old JPGs which I need to search through for text. Comparing One Drive VS Google Drive - Google's speed is much faster at opening PDFs and especially large PDFs.

    • May I ask how you moved your photos? I also signed up for a Google One account, and I shared all my photos from the GSuite account to the Google One account. I can't remember the name of the flag, but it supposedly creates an actual copy in the Google One account.

      I've deleted the photos from the GSuite account and they're still showing in the Google One account BUT - and this is a huge but (heh) - the photos aren't taking up any storage at all on Google One. So I'm absolutely terrified that if I let Google shut down my GSuite account then all the photos will disappear.

      I understand that there's Google Takeout, but (a) I don't have a few hundred Gigs lying around handy where I can download them to, and (b) that would lose all the Google Photos metadata that I've spent years accruing.

      • I had a similar experience and concern.

        I tested it by deleting a few unimportant photos on the gsuite account and they were still present on the personal.

        It sounds like you've done it correctly. It's the "partner" sharing and you enable a copy of all the photos.

        Strangely I think there was a week or 2 lag on the storage usage to show up but eventually it does.

        • LOL my 'lag' has been about 2 years now! I transferred my photos back in 2019 and they're still taking up 0 storage. It's ironic, because I was on the Google Drive 100GB plan, and the next tier was 1TB, which was way overkill for me, so I bit the bullet and created a personal Gmail account to sign up for the Google One 200GB plan.

          But as it is, I'm not even using 20GB since my photos aren't being counted!

              @afoveht: Ok. I'm my opinion I'm guessing that there is no free alternative to g suite¹. Google is one of the largest organisations in the world and likely employs researchers and financial guru's. They have likely discovered that no alternative exists and realised that they can make even more money by charging for said services.²

        some alternative I looked are Zoho and office 365.
        Family office 365 is much cheaper option than zoho but not sure how to take benefit with custom domain and email alias that we use on google workspace.

          If you're running a business with ten employees then $84 a month is a rounding error. $84 won't even get you an hour's worth of tech support time, but g-suite will save you hours of needed support per month because everyone is comfortable with gmail already.

            @AustriaBargain: Totally agree. $84/month for a business is nothing for a business with 10 employees. But a lot of the people complaining about the free legacy edition are running vanity domain names for their own family members and/or community organisations, not actually using Google services for any endevour that generates money to pay for the $84/month. I am guessing the conversions to paid versions of Gmail will be low, with most people shifting to another method or solution altogether. This then begs the question, why bother? I am sure Google can keep the existing G Suite people on the Gmail infrastructure, which people can sign up for, for free. I, for one would be happy to move to an ad-supported model, like Gmail.

    • Zoho is pretty close (I think), but not as much storage for free.

      e.foundation gives you a 5Gb OwnCloud or NextCloud (I can't remember which) Instance

      • I have used Zoho in the past few years. I would say their free plan is probably insufficient for anything other than extremely light emailing. Even signing up for Ozbargain notifications will get you over your daily limit.

        • I've been using it for the past 12 months, never experienced such a problem, but I only get a few emails a day.
          Unsubscribe from most crap I don't need.
          For personal needs, it's fine.
          For business needs, you probably need to start paying…

      If you like Russia there is Yandex 360 and Mail.RU. Those two are probably the closest in terms of feature sets.

      • Thanks for that. I checked both out following your recommendation. Yandex 360 seems to be no longer free. I managed to test out Mail.RU, so far so good. Seems like a good replacement for free G Suite. Might move my domains there eventually, when I get kicked out, but not looking forward to the migration.

        Got my fingers crossed for this, we only use email and just for the 3 family members. It's totally not worth $288 per year just for email.

    • Long before G Suite and Google Workspace I had been using hosted email from Google where you could BYO domain. I don't use anything else, and don't care for the hosted email either, but does anyone know if the identities created will be retired? They are, unfortunately, tied to various services I use like Android and YouTube.

        That's the problem and why everyone is up in arms. There's no way to move it directly to a Gmail account with all the purchases and YT stuff intact.

        I have had mine for years, and was kicking myself that I had not upgraded it (free) to 50 or 100 users. I do have a few separate accounts since my alias use is huge. Now I am not so upset!

        Hopefully they come up with a 'running my household' kind of plan for under 10 accounts. $8.40/usr/mo with 30GB per user combined Mail & Storage against M365BB at $6.90 with a 50GB mailbox and 1TB of Onedrive separately seems rich.

        Let us have what we do already (or some minor removals) and I would be happy to pay $2.50/usr/mo which is more than they were getting from me. After just buying a Pixel 6 Pro, it leaves a very sour taste.

          I'm willing to sacrifice my email and all the mailboxes, but I just need the identity. It doesn't seem clear to me whether I could cancel it or not unfortunately and I can't even find the notice it is being changed yet.

    What is a user?
    A user is defined as one personalised email address (you@yourcompany). Group email aliases such as sales@yourcompany and support@yourcompany are included in pricing and don't count as additional users.

    I currently have a free one user (admin@mydomain) license G-Suite and do some trickes with emails aliases / forwarding etc so that family members can all get and receive email, e.g. name1@mydomain, name2@mydomain etc using a mail client.

    I also use the catch-all email ability (not sure if this is a DNS MX feature or a G-Suite feature) to sign up for many online and physical stores with email addresses like storename@mydomain to track spam etc.

    Will the above definition of a user (personal email address) mean that I will have to now pay for multiple users? I am considering moving to Google Workspace but just with one paid user. I think they really mean "personal email mailbox"?

    Any advice appreciate.

  • There's web hosting providers posting deals on Ozbargain from time to time. Has anyone looked at the email hosting services they offer? Or email accounts connected to standard web hosting accounts? This deal works out at $35pa for 5GB and allows unlimited email addresses within that total 5GB limit. https://www.ozbargain.com.au/node/677823 I realise that I'd need to be much more proactive in moving messages with big attachments to a different account to keep inside this limit.

    Or are the email accounts with this sort of arrangement very basic in other ways and not a good idea?

  • My own domain name is hosted via easily.uk and the MX records for my domain point to Googles and I get my email in Gsuite.

    So if you are only interested in your email being preserved, and you run your own domain via a different company, then is it possible to take your email out of GSuite and then have your MX records point to your new hosting location?

    From what I have read I think it is but I think the challenge comes down to finding someone who is reasonably priced for said email hosting. Is that right?

    I am not too bothered about Play Store purchases as I stopped using my GSuite account a long time ago to make purchases and started using my regular Google account instead.

  • If you just want custom mail for your family - what's wrong with 1 x paid M365 Business Basic user (let's call them the admin & to keep the tenancy alive) & a few unlicensed users with "O365 Shared Mailboxes" & some mailbox permissions

    • The advantage here would be if you had > 6 people. Otherwise Microsoft 365 Family would cost the same (or cheaper if you have HUP or some other deal) and you'd get individual mailboxes, right?

    • I have had domains (just email) hosted on Yandex for years, and it has been both free and works perfectly, but I am concerned about moving any of my Google domains over there, just in case it gets blocked in either direction.

      I started using Yandex when Google stopped the free G-Suite years ago.

      I am thinking I might move the ones I have there out when I move off of Google, and put them all in one place (easier to administer if all in one place).

    Just a custom domain for email usage here. Don't need the google drive, and other things.
    Was thinking of trying migadu at $19/yr (pretty sure that's USD), either that or MXRoute, but the company seems to be pretty dismissive and harsh if you have any issues or want to contact them.

  • A few weeks ago I filled in the Google support form for non-business GSuite users with fewer than 10 seats. I just received an email which might be the result of that. Here's an extract:

    When upgrading to a Google Workspace paid subscription, you’ll unlock new premium collaboration and security features, while continuing to have access to all the ones you already love like using Gmail with your custom domain (ex. [email protected]) and the ability to manage multiple users. As a valued customer, you can get started now with Google Workspace Business Starter. Billing will not start until at least August 1, 2022, and you’ll also get a discount of at least 50% for 12 months after that date.*

    *Discounts will be determined based on current product usage and location.

        The no cost option does NOT let you use your own custom domain name for your emails and only allows one email account (I think)

        SO everywhere I turn I'm running into brick walls. If I stay with google it's going to cost $8.40 per user per month ($302.40 per year), note there is a 50% discount for the first 12 months.

        We only use it for email and only have 3 email addresses.

        Microsoft 365 is $8.20 per user (you have to get MS business basic to use your own domain name)

        Protonmail is about $330 per year.

        I don't mind paying for a good service but not 'that' much.

        So am I going to be screwed for 300 bucks+ per year or will I have to give up my unique email addresses?

            • @EightImmortals: I assume you could use Thunderbird (haven't personally used it) and other mail clients, in the same way I use the iPhone Mail app for my work-supplied Exchange Online account but you get a bit more functionality when using the iPhone Outlook app

Wasted most of the day trying to figure out the best solution but for now I've gone with the workspace upgrade at 50% discount for 12 months after August and will change to a family plan if they introduce one. Seems the cheapest and most hassle-free option all 'round. Well played google, well played.

        • You can get dirt cheap web hosting and just use for your email. Flaunt7 offers this one free though not exactly sure what's included with this. SunshineHost is less than $7 a year, or something like Uptime hosted in Australia for $36/year. No doubt there is a whole lot more similar services. You should be able to use POP/IMAP and they would likely have a webmail interface (Roundcube, Horde and Squirrelmail are the 3 usually included)

          I liked running on Gmail as found their spam detection better than spamassassin or whatever most hosts use and liked the web mail interface since that and my phone is all I use these days. The search function got a good workout too since I would archive most stuff and search when I need it, I expect the search on other self hosted email solutions won't be as good.

          But if that's what they want to do, I guess I'll be hosting my email elsewhere. I'll keep the no-cost option for my other Google services since it's tied in with my phone (but then again, I really should switch the family to regular gmail accounts so can use all the family sharing and full access to Google Home that is missing for GSuite users). Maybe I'll switch to regular Gmail and just forward all my domain email accounts to each private Gmail.

    Does the no cost option come with a new gmail address, but keep the existing mailbox?
    That would save a lot of hassle and risk exporting data to a new account.

    And I can get my domain registrar to forward all email to my new gmail address, on the same mailbox? Hopefully the filters will keep working.

    But whatever I do, I'll move the kids' data to new accounts first, and see how that goes.

    My plan is to move email to a domain name hosting provider then to use a personal Gmail account to access the email form the hosting provider via POP3 retrieve and remove the email form the hosting provider and store it on Gmail servers.

    I will then send out emails through the hosting provider mail server with the domain name to avoid DKIM (DomainKeys Identified Mail) issues. It won't be as reliable as Gmail's servers but it used to be reliable enough for me.

    A. will there be an issue with this approach?

    B. I am currently using a hosting company where I could increase the plan to host more domains with unlimited data transfer and unlimited email accounts (note this would be just for email and email must be downloaded to gmail via POP3. If people are interested we can work out a special ozbargain deal for a low cost annual fee?

          Shared web hosting providers due to the nature of how they operate quite often customers are compromised and lead to your emails not being delivered because of the actions of another customer.

          And they don't need to compromise email passwords for this as it services primary for web they can easily compromise a website on the same box you're on an upload a script a mass send out spam.

          Some of the really good shared providers will mitigate these sorts of risks but most don't and the ones that do still have the occasional problem.

  • Yeah, the no-cost will be no custom domain emails.
    Might have to transition to a cheaper provider - Hosting bee would only be about $20 a year - https://hostingbee.au/members/store/email-hosting
    But was thinking of going with their "deal" for a little bit more ($36/yr) - https://www.ozbargain.com.au/node/693685
    I don't need the web hosting (don't use it), just want the custom email addy.

    No cost option available now:

    For individuals and families using your account for non-commercial purposes, you can continue using the G Suite legacy free edition and opt out of the transition to Google Workspace by clicking here (requires a super administrator account) or in the Google Admin console.

    • Is this reverting back to the GSuite Legacy? Unfortunately I've migrated to Workspace Starter earlier this year, and now trying to contact Google support to have it reversed.

      • @scotty you can revert back, no interaction with a human required. Contact support via admin control panel (any page, just do it post login!) by:
        • click question mark (loads a chatbot)
        • click contact support at bottom
        • type in g suite legacy (if no options auto presented)
        • select questions about g suite legacy free edition
        • select that you used for personal use, follow the self-confirmation prompts etc

        It creates a support ticket which will be actioned.

        NOTE: if you want to assign a secondary domain as primary (let’s say you want to ditch your original Gsuite domain), do this before you follow my steps above.

        • I got an error when I did that this morning (after following Google's support on Twitter). I'll try again later today.

          • @scotty: There’s reports of some users getting an error as it appears to be enabled in batches… and also if you’ve upgraded as you and I have.

            Anyway, I documented the above de-migration steps as I was going through the support request so it would be clear/accurate.
