App for Work Sign in/out - AKA online Punch Cards

Hi All,

We get our warehouse staff to manually write there times that they work per day in a paper workbook, and payroll uses this to pay the staff. This is obviously a trust system, and we generally know when the staff start and finish, as we have only 5-6 warehouse people. We want to streamline the process and tighten this up as we get more staff.

Can anyone suggest an app that we could use, so when the staff come to work, they sign in via the app and sign out?

This idea came, as my daycare uses an app called xplor, which has a bluetooth dongle in the daycare, and only when you are in the building, can you sign your kid in/out. The system is designed for daycare uses, so would be impractical for our needs.

I was thinking the app would use gps location to geofence, so the staff could only sign in/out when actually at work.

Any suggestions would be great.

    Kronos - has fixed swipe units and app punch with gps coordinates. Except it’s very much an old school tech that probably costs a lot. I know coles/woolies use it in stores.

    We have to use Digital hand scanners in our workplace……Stops other colleagues accidently clocking you on when you are late :)

    • Used this too with fingerprint scanners. Seemed pretty reliable.

    Is your interest in removing the need for trust?

    • partly, as the more workers we get, the harder it is to track if someone is actually work set hours. Also, don't want to create opportunity for people to start arguments that they worked certain hours when they did/didn't.

        You might want to plug 'geofence' into those search terms. You want something tat will set up a geofence so that people can only log in from their phones when within a zone that you set.

        If you search 'Geofence App Workforce' there seems to be a few options that come up.

        • GPS Geofence is useless - Android you can install a fake GPS app and boom, you're at work.

          Do your staff need to go in and out of any secured doors (e.g. currently carry keys?) Could be a chance to move to swipe cards for locks and have a similar swipe to sign on/off?

  • My wife works for a company with workers based on other sites.They clock on/off by phone using a specific landline phone on the site and an identifying password. The company that monitors this notifies the employer of any discrepancies or absence.

  • I setup Deputy and my workplace and it is great. You can have a kiosk or get your staff to sign in on their phones. Deputy allows you to check whos late what shifts they have for today and whos currently working. When checking in the staff must enter their 4 digit pin and take a picture.

    Paid/professional solutions are probably going to be designed with much more in mid, eg connecting to rostering & payroll systems etc.
    If you are planning to upgrade/automate these systems, it makes sense to have a package that will do all that for you.

    But if you're more or less happy with the paper timesheets, and just a way to prevent want to avoid abuse, you can DIT something pretty simple.
    eg I just spent a couple minutes using a automation app (shortcuts on iphone, or IFTT probably works too) to present a list of buttons (names) that then takes a photo and emails it somewhere with a message.
    You could get people to just tap their name on a tablet and have it send a timestamped message and photo to google docs or something

    Left field question - shouldn't the team leader or shift manager be doing this? <10 staff isn't much to monitor…

    • yes, but as we grow, which we are, it will be easier for all to have this automated into our systems.

      • I worked on a site with over 800 employees and teams of between 10-20 workers we had no problems there with the WGL's filling in a weekly time sheet for any discrepancies.

    Just make sure you communicate the change to the workers as people hate change.

    Maybe tell them now you are looking at changing the system. Tell them you need something better suited to the ATO's one touch payroll system which will become mandatory for all companies soon.
    There are many options, none are perfect and there will be some teething problems. I've looked at many and the simple sign in and out with a passcode is probably the least troublesome and smallest change from your current system.
