How to Deal with Gardener's Illiteracy in Writing Official Receipts Needed for Insurance Rebate Purposes

First off, my gardener does a great job, I respect him alot, and I like him personally and enjoy our conversations.

There is an issue though, I am not sure how to go about this best without hurting his feelings.
I require official type receipts for insurance rebate purposes.
And when he writes the receipt, his literacy is unfortunately so lacking that he even wrote "mowe" and "eoges" (edges) .
Now my concern is, these bodgy asf looking official receipts, may likely bring up red flags at insurance company, and then my refunds get held up while they investigate why my receipts appear to be written by a child.
I'm quite sure at he must have some idea that his spelling is bad, since he is about 50, and still having such issues unfortunately .
But anyway, he's just lost his job the poor guy, and I'm trying to help him out with some extra gardening work on top of the lawn mowing and edges , but I have to sort this receipt issue out.

I am allowed to write the receipt myself under the rules of the insurance thing, of course I don't sign it though, he signs off on it.

But any ideas how I could bring this up, and get to a stage where I am writing the recipt up, and he signs off.
, without hurting his feelings about something that is clearly an ongoing issue through his life.
I feel I can't give him more and more work, if this receipt issue continues.

If I was working in the fraud department and saw this, I would honestly suspect it to be a bodgy recipt .

    Are these spelling errors new? This guy has held down a job at some point that he's now lost it - surely that would have required a degree of literacy better than what you're describing? Is he unwell?

    I know some people feel OP is being given a hard time.
    But when I reread the post it does seem quite ridiculous!

    OP just tell your gardener insurance company needs receipts written a specific way and show them how.

    People are giving you a hard time because it's ridiculous that you actually need to ask this on a forum post. It's pretty obvious. If you need something done or in this case written a certain way just ask for it! No need to make a big deal out of it…

  • Just use the receipt he gives you. You're probably more worried than you need to be.
    Assuming it has all the required details for a business then it will be fine.

      This. If the insurance company follow it up they’ll find out the guy is legit and end of problem - except from the OPs unwillingness to explain the situation maybe it is dodgy.

          Withholding contextual information may taint the advice you receive. It could go so far as to point you in a completely wrong direction. For example, NDIS has a different set of requirements than would a normal insurance company.

          When it comes to questions that may have potential legal remifications, wouldn't it be prudent to be as forthcoming as possible? If not, it's probably not a suitable question for a public forum.

I don’t really care wether you provide the info or not, but being so coy about it points to it being somewhat dodgy or maybe you are trying to conceal what you are doing becuase it is legit, but taking advantage of a loophole you don’t want exposed. If it’s legit, then I guess other people want to work out how to get in on the deal which is why they are harping on about it.

          We don’t want to know all your private details, a simple outline of why you are claiming gardening expenses for an insurance claim would satisfy bias here. If it is a legit NDIS claim that is all you’d need to say. If it is becuase you are claiming due to an injury received becuase if a car accident that is all get are asking.

  • my sparky does it too. It’s not hand written but all on his myob system. But he’s a nice fellow and I don’t see a point of bringing that up only to make myself look like condescending (even though the intention is genuine).
    If it really bothers you casually bring that up and I don’t think he’d take it in a bad way. otherwise ignore it.

    If you're worried about red flags, claiming receipts that are in in your own handwriting is more of a red flag than what you're describing.

    I prefer simple solutions. So long as all the legal information is included in his receipt, attach a note to his receipts with explanations you deem important. If/when you're questioned/audited, those notes will serve as accompanying information explaining. It'll make the process much quicker.

    Alternatively, call whoever you're worried about and explain the situation. If it is indeed an issue for them, get your worker to fix his invoices to an acceptable standard or replace him.

    There's so many real issues that need attention in this world. There's little point in spending more time than necessary on those issues that really aren't issues at all. You know, mountain out of a molehill and all.

  • I remember a year ago in a strata unit we were living, we had one cleaner who can barely understand/speak English. I always greet/wave whenever I saw him and he smiles/waves back. One day, I need to ask something about the building's green bin. He took out a smartphone, he pointed to me to type in google translate. He was able to help me with no issues.

    I look at this post and think the way OP is describing the Gardener maybe the Gardener should be afforded some NDIS. But the Gardner is probably way too proud and hard working to request NDIS.

    Unlike some people milking the system and spending their time being paranoid about legibility of receipts as if they are committing a serious crime where if the gardener is actually doing their job, which seems to be the case and if anything was to be questioned the Gardner would just say it's legit but they struggle with writing.

    However, maybe OPs actually paranoid that if they do interview the gardener they will strip the OP of their NDIS and give it to the deserving Gardener.

    A whole bunch of assumptions here but something just seems very off.

    Photocopy the receipts before you mail them.
    If you are scanning and uploading then keep the scans.
    If you are emailing your sent folder will have a copy.

    If the receipts get questioned just explain about the illiteracy. They will understand.

    Imo you doing the receipts and getting the gardener to sign would look dodgy.

      It's actually NDIS. They understand I am much smarter than any service person that comes to work for me.
      I'm sure they are fine with me, clearly writing receipt. I have asked this directly to NDIS planners and they said it is fine.
      My only concern here, was how to approach the issue with 'least hurt' or no hurt, to his feelings .
      I'm sure there are many traumatic memories for him related to his disability there, so I prefer not to antagonize his pain. If you understand what I mean.

But too dumb to connect 'National Disability Insurance Scheme' , of course they pay sometimes for things like lawn mowing and gardening maintainence, providing the need, is related to a disability listed and proven (shown evidence of, medical docs etc) .

      Any way, I am smart enough, that given time, I can resolve everything myself cognitively. Which is did :) .
